Connect OnceHub

Connecting OnceHub turns bookings into call events in Klarvyn — with cancellations, reschedules, completions and no-shows tracked on the same call.

Connect

1. In OnceHub, go to Account → Integrations → APIs & Webhooks and create an API key (requires an account admin).

2. In Klarvyn, go to Settings → Integrations, open the OnceHub card, paste the key and click Connect OnceHub. Klarvyn validates the key and registers one account-wide webhook automatically.

3. In OnceHub Settings, click Add Booking Calendars and select which calendars should create call events — OnceHub sends every booking to the webhook, and Klarvyn filters on your selection.

4. Make a test booking on a selected calendar — it appears as a call on the contact within seconds.

What flows in

• Bookings on selected calendars become call events with calendar name, appointment time, duration and the visitor’s timezone.
• The full booking lifecycle: reschedules repoint the original call, cancellations mark it cancelled, completed bookings mark it as showed, and no-shows are flagged — all visible on the contact timeline.
• UTM parameters are captured natively from OnceHub, so attribution works even on OnceHub-hosted booking pages.

Good to know

• Nothing is tracked until you select calendars — the webhook receives everything, but only selected calendars produce events.
• Watch for the yellow banner. If the panel says the webhook is missing or its signing secret is gone (OnceHub disables subscriptions after ~3 days of failed deliveries), bookings aren’t being tracked — the fix is always Reconnect.
• Unpublished calendars are listed with a badge but won’t produce bookings until published in OnceHub.
• Best attribution: embed OnceHub on your own site with the Klarvyn tracking script. Bookings from a hosted OnceHub page still attribute via UTM parameters or email matching.
• Disconnect removes the webhook in OnceHub; recorded calls are kept.
